Xaver Sports: a SaaS platform and Retool back office for multi-sport clubs

Xaver Sports is a SaaS platform for clubs that run several sports at once. We built the platform for members, schedules, performance and money across every sport a club offers, and the Retool back office its administrators run it from, on MongoDB.

The challenge

What wasn’t working

A club that runs several sports has members, schedules, coaches and fees for each of them. Running all of that in separate tools gets complicated fast.

Xaver Sports wanted one platform that could handle the different needs of each sport, and one back office where administrators could see and manage everything.

The data model had to cope with members in several sports, events of different kinds and money moving in many directions, and keep working as more clubs joined.

The solution

What we built

One account, several sports

Members sign up once and can join several sports clubs from the same account, with profiles, attendance and performance in one place.

Scheduling

Administrators create and manage events, training sessions and competitions across every sport the club runs.

Performance and finances

Coaches track athletes’ progress, and the club handles membership fees, payments and budgets in the same platform.

Retool back office

A Retool panel for administrators with dashboards, member and event data, financial transactions and role-based permissions.

Custom charts

Charts for performance over time, attendance trends and the club’s finances, built where Retool’s own components weren’t enough.

Query builder and workflows

A JavaScript query builder so administrators can pull and filter data themselves, plus Retool Workflows for notifications, reminders and invoicing.

How it works

How the platform fits together

  1. 1

    Members join

A member registers once and joins one or more sports in the club.

  2. 2

    Club plans

Administrators schedule training, events and competitions for each sport.

  3. 3

    Coaches track

Performance data is recorded against each athlete and shown in charts.

  4. 4

    Money moves

Fees, payments and budgets are tracked, with invoices and payment reminders sent by workflows.

  5. 5

    One back office

Everything is stored in MongoDB and managed from the Retool back office, with permissions per role.

The result

What changed

  • Members, schedules, performance and money for every sport in one platform
  • Administrators see performance, attendance and finances in charts instead of raw records
  • Reminders, notifications and invoicing run on their own through Retool Workflows
  • A flexible MongoDB data model that leaves room for new clubs and features
